Executive / Personal Assistant (Level 1)

Job Summary

The Executive / Personal Assistant is responsible for providing administrative and personal support to a high-level executive or individual to facilitate their day-to-day activities and maximize their productivity. The role requires exceptional organizational and time-management skills, attention to detail, and the ability to work under pressure. The Personal / Executive Assistant is also responsible for maintaining confidentiality and discretion at all times.

Key Responsibilities

  • Scheduling and managing appointments and meetings, including arranging travel and accommodations
  • Handling emails and phone calls, screening and prioritizing as necessary
  • Preparing and editing correspondence, reports, and presentations
  • Managing and organizing the executive's personal and professional files and records
  • Handling personal errands and tasks as requested, such as shopping and event planning
  • Acting as a liaison between the executive and other individuals, departments, and organizations
  • Performing research and gathering information as needed
  • Assisting with projects and other responsibilities as assigned

Qualifications

  • Up to 2 years of experience as a Executive / Personal Assistant or similar role
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite
  • Ability to work independently and as part of a team
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • High level of attention to detail and accuracy
  • Positive, professional demeanour and strong interpersonal skills
